Families registered at St. Mary's School are required to complete 20 Volunteer Hours during each school year.
Volunteer Hours can be bought at the rate of $10.00 for each 1.0 Volunteer Hour.
Families that actually volunteer on campus during normal school hours should login to the office computer at the start of their volunteer period and logout at the end of the period.
If a volunteer does not logout of the office computer, the default 1.0 Volunteer Hours will be credited.
Families that volunteer off campus or outside of normal school hours, and therefore cannot login/logout of the office computer, should fill out a Volunteer Hour Form (available in the office) and turn it in to the office.
Families cannot submit a Volunteer Hour Form before the actual Volunteer Hours were performed.
PLEASE, if possible, break down your Volunteer Hours into individual events. If you are a Girl Scout Leader, log each meeting, campout, conference, etc. as a separate entry on a Volunteer Hour Form with the date and duration of each entry. This is only a request and not made to be a burden on anyone. Break them down if you can.
Families that donate home-baked goods for events such as class parties, bake sales, meetings, etc. will earn 1.0 Volunteer Hour for each event.
Families that donate party supplies (store-baked goods, packaged drinks, plates, cups, etc.), classroom supplies, wish-list donations, books, etc. will earn 1.0 Volunteer Hour for each $10.00 value. PLEASE, if possible, submit a receipt (or a copy with the credit card number removed) along with the Volunteer Hour Form. If you submit a Volunteer Hour Form electronically, please write “On-line VHF&rdquo on the back of the receipt and drop off at the office.
Families that attend the quarterly Home & School Meetings will receive one Volunteer Hour for each meeting for each Family. Only one adult needs to represent the Family. To get credit for these Hours simply sign in on one of the class forms by the side door.
School Board Families, Home and School Association Executive Board Families, Committee Head Families and Teacher Families are the only Families that will automatically earn their 20 Volunteer Hours.
Each and every Volunteer Hour entry that a Family correctly submits will be logged to the Volunteer Hour Tables, even after the Family has met their 20 Hour obligation.
On the Volunteer Hour Form, PLEASE correctly identify the Parent Name(s) that the volunteer hours should be credited. Just the last name of the Family will not always cut it as there are a few Families with the same last name. The Parent Name is the name of the parent listed on the student's registration form. The Volunteer Hours Tables identify the Family by the first and last name of the parent that registered the student(s). If you share your last name with another Family, try and use the first and last name from the Volunteer Hour Tables on your Volunteer Hour Form.
Volunteer Hours could take 5-6 weeks before they are posted to the Volunteer Hour Tables. Hours logged into the office computer are picked up only at the top of the month. These could take up to 10 days to process and post. Volunteer Hour Forms submitted in hardcopy to the office are picked up AT LEAST at the top of the month. These could take up to 10 days to process and post. Volunteer Hour Forms submitted electronically via the "Submit By E-mail" button on the Volunteer Hour Form are instantly picked up. These are usually processed and posted within a few days.
